Clutch Club — Privacy Policy

Clutch Club ("the App") is an academy management application operated by Clutch Basketball Academy ("we", "us"). This policy explains what data we collect and how we use it.

Data we collect

• Account data: name, email address, and role (coach, manager, or student/parent) used to sign in.
• Player and guardian data: player name, year of birth, gender, team membership, parent/guardian names and phone numbers — entered by academy staff to manage rosters, attendance, and communication.
• Financial records: invoices and payment status related to academy fees. We do not collect or process card numbers or bank details in the App.
• Photos: player profile photos uploaded by academy staff or parents.
• Attendance records: training session attendance marked by coaches.

How we use data

Data is used solely to operate the academy: managing team rosters, tracking attendance, issuing and tracking invoices, and communicating with parents. We do not sell data, use it for advertising, or share it with third parties except the infrastructure providers that host the service.

Where data is stored

Data is stored on servers hosted by Render (region: Frankfurt, EU). Data is encrypted in transit (HTTPS). Passwords are stored hashed (Argon2id) and are never visible to anyone.

Data retention and deletion

Data is retained while a player is enrolled at the academy. Parents or guardians may request access to or deletion of their child's data at any time by contacting us at the email below. Deletion requests are honored within 30 days.

Children's data

The App stores player records for minors enrolled at the academy. These records are created and managed by academy staff with the consent of parents/guardians as part of enrollment. Children do not create their own accounts; student access is provisioned through a parent or guardian.
